/ Use case · Retainer management

Retainers that draw downagainst real, logged work.

A monthly retainer only holds up if the client can see what they got for it and the team can see how much is left. Role Central runs both sides of that conversation off the same records.

01

The problem.

Retainers usually break down for one of three reasons. Nobody's sure how much was used mid-month. The team over-delivers and doesn't invoice the excess. The client under-uses and doesn't renew. In every case, a spreadsheet maintained after the fact is what everyone leaned on — and trusted least.

02

How Role Central changes the workflow.

A Support Service carries a retainer allowance in minutes per period (weekly, monthly, quarterly). Time logs on requests and tasks that belong to the service draw down the allowance automatically. The current position is visible on the service and in reports — for both the internal team and, where the founder chooses, the customer.

Work that goes beyond the allowance can be classified as Billable at the time of the log, not renegotiated at month-end. Renewal conversations become factual: this is what was used, this is the trend, this is what next quarter looks like.

03

Relevant capabilities.

  • Support Services — retainer allowance, allowance period, default commercial classification.

  • Time — logged against a task, request or service; feeds allowance draw-down.

  • Commercial classification — Included, Retainer, Billable, Warranty or Awaiting assessment.

  • Reports — per-period allowance usage, overrun and trend.

  • Commercial close — billable work outside the allowance flows into the close and eventually the invoice.

04

The outcome.

/ Outcome

The client can see the current position without asking. The team can see whether they'll overshoot before month-end. Renewal conversations start from facts. Nobody's rebuilding the picture from calendar entries the day before the invoice goes out.
